A growing Registered Investment Adviser (RIA) firm is seeking a professional, organized Office Manager to oversee daily office operations and administrative functions. This role is critical to keeping the office running smoothly and supporting advisors and leadership through strong organization, vendor coordination, scheduling, bookkeeping support, and process management.
This is a full-time, in-office position with occasional flexibility based on business needs.
Key Responsibilities
- Manage day-to-day office operations, supplies, mail, and facilities coordination
- Coordinate vendors including IT, internet/phone, copier, cleaning, and office services
- Oversee conference room scheduling and meeting preparation
- Manage internal calendars, meetings, and office communications
- Answer and route main office phone calls and general inquiries
- Process invoices, track vendor payments, and maintain organized records
- Coordinate with outside bookkeeper/CPA and assist with expense tracking
- Support employee onboarding/offboarding and HR administrative tasks
- Assist with compliance-related administrative workflows and document organization
- Maintain office procedures, checklists, and operational documentation
- Support office technology systems and coordinate IT support requests
- Help organize team events, presentations, and marketing-related administrative needs
Qualifications
- 5+ years of office management or administrative operations experience
- Strong organizational skills and attention to detail
- Professional communication and multitasking abilities
- High level of discretion and confidentiality
- Proficiency in Microsoft Office/Microsoft 365
- Ability to work independently and improve processes
Preferred
- Experience in financial services, banking, accounting, or an RIA environment
- Experience supporting bookkeeping or vendor payment processes
- Familiarity with compliance or records management workflows
- Bachelor’s degree in business, finance or related
